PDFOutput vs. PDF Maker: Which Document Automation Tool Fits Your Workflow?
By the PDFOutput team · October 24, 2026
If you are tired of copying data into documents by hand, both PDFOutput and PDF Maker can generate finished PDFs straight from your data.
They take different routes. We built PDFOutput for teams that run on Notion, so every part of it is designed around Notion databases.
PDF Maker is a no-code platform that connects to many data sources, including Airtable, Notion, Google Sheets, Google Forms, monday.com and several CRMs.
Because this comparison is on our own blog, we will be upfront: we are biased toward PDFOutput.
We have still tried to describe PDF Maker fairly, based on what it publishes about itself, and we say plainly where it is the better choice, including on price at lower volumes.
This guide compares the two on data sources, templates, document features, automation, security, support and pricing, using each product's public pages as of October 2026.
Quick verdict
- Choose PDFOutput if Notion is your system of record and you want documents generated straight from Notion databases, with templates in Google Docs, Word, PDF or Notion pages, outputs in PDF, Word, Google Docs and PPTX, e-signatures on generated PDFs, and an unlimited-document plan for high volume.
- Choose PDF Maker if your data lives in several places (Airtable, Google Sheets, Google Forms, monday.com, a CRM), you need a public API and published compliance statements, or you generate a low to mid volume and want the lowest entry price.
- Both work with Notion. PDFOutput is the Notion specialist. PDF Maker is the broader platform. The right pick depends on how much of your workflow lives outside Notion.
- You start by designing a template.
- You add placeholders in double curly brackets, such as \{\{Client_Name\}\} or \{\{Invoice_Amount\}\}.
- You connect a Notion database, and PDFOutput replaces each placeholder with the matching property value.
- Multiple databases: relations and rollups let one document use values from several databases. For example, an invoice can fetch invoice details from an Invoice database and client details from a Client database connected through a relation.
- Line items: an invoice can be linked to a database of items, and those items appear as line items in the generated document.
- Multiple Templates : Allows attaching multiple templates to the same automation to generate PDFs. Eg: Different invoice layouts for different clients.
- Batch generation and merging: generate one file for every row in a database, or merge several PDFs into one pack.
- E-signatures: generated PDFs can be sent for e-signature.
- Images: Notion image properties can be inserted into templates with adjustable size.
- No middleware: you do not need Zapier or Make, because the Notion connection and the template are all you configure.
- Set up your Notion database with a property for each value that changes, such as Client_Name or Due_Date.
- Build a template in Word, Google Docs, an existing PDF or a Notion page and add placeholders. Each placeholder must match the Notion property name exactly. For example, \{\{Client_Name\}\} matches the property Client_Name and \{\{Due_Date\}\} matches the property Due_Date.
- Connect the template in PDFOutput, choose the Notion database and match the fields to each other.
- Choose an output file name by selecting a property from the database (for example Client_Name), then generate a preview document.
- Once the preview looks right, set up the automation and start generating PDFs directly inside your Notion database with a button, a schedule or a status change.
- Choose a source: Airtable, Notion, Google Sheets, Google Forms, a CRM, a webhook or another supported option.
- Set up a template using the Google Docs interface, or import an existing Google Doc or Word document. For Notion, templates are designed in PDF Maker's own visual editor, which starts from a blank canvas.
- Insert placeholders for your fields. In the Notion editor you drag properties from a sidebar and see a live preview with real data.
- Set the automation trigger, or generate on demand from a record.
- Check the run history to see the generated documents.
- PDFOutput works with Notion databases. This is a dedicated tool just for Notion users. Everything, from the field mapping to the file storage and triggers, is designed around how Notion databases behave, and relations and rollups let you combine several databases into one document.
- PDF Maker works with Airtable, Notion, Google Sheets, Google Forms and monday.com as data sources, and connects to Make, Zapier, n8n and its own REST API and webhooks. It also lists HubSpot, Pipedrive, Zoho CRM and LeadConnector, and offers a Claude Code plugin for creating templates and PDFs in plain English. If a source is missing, you can request it on its public roadmap.
- PDFOutput accepts Google Docs, Word files, existing PDFs and Notion pages as templates, which gives Notion users the widest choice of starting points. Fixed text stays in the template and changing values stay in Notion, so staff can edit a record without touching the design. We also publish free ready-made Notion templates for common documents such as orders, quotations, business proposals and fee agreements.
- PDF Maker uses the familiar Google Docs editor and can import Google Docs and Word documents, so you do not recreate existing templates. Its Notion integration adds a built-in visual editor with a live preview and versioned templates, so you can roll back a change that breaks a layout.
- PDFOutput supports placeholders mapped to Notion properties, images from Notion properties with adjustable size, and related data from several databases through relations and rollups. It generates several output formats from one record, merges PDFs into packs, and supports e-signatures on the PDFs it generates. For Notion, it reads title, text, number, email, phone, URL, date, checkbox, select, multi-select, status, formula, relation and files properties, and supports custom PDF file names from any field and thus supports all properties in Notion.
- PDF Maker lists text placeholders, dynamic images, dynamic tables (with or without images), line items, loops and conditions. Conditions and loops are useful for documents that change shape, such as a proposal that shows optional sections or a report with a variable number of rows.
- PDFOutput can generate on demand with a button, run on a schedule for recurring documents, or fire in real time when a record reaches a chosen status. It supports batches, merged PDFs and automatic Google Drive storage, and writes the finished PDF back into the Notion database.
- PDF Maker triggers generation from its connected sources, on demand from a record, or through its API, Zapier, Make or n8n. After a document is generated, paid plans can run follow-up automations: save the Google Doc or Docx file, save to Google Drive, send an email, merge existing PDFs, or call a webhook. Its Notion page quotes about 5 to 10 seconds per PDF.
- PDF Maker offers a PDF generation API for creating PDFs from your own application or website. Its pricing FAQ states that API access is available on the Growth and Enterprise plans. It also supports webhooks and the Claude Code plugin, so it suits teams that want documents created from custom software.
- PDFOutput is built for no-code teams working in Notion. If your main requirement is programmatic generation from your own code through a public API, PDF Maker is built for that.
- Just getting started: you can test PDFOutput free for up to 10 documents, enough to run a real invoice, contract and certificate end to end in your own Notion workspace.
- A growing team (around 200 documents a month): PDF Maker's entry plan has a lower sticker price, at $19 per month or $15 on annual billing, against $29 per month or $290 per year for PDFOutput. The PDFOutput price covers a tool designed around your Notion databases, with templates in the Google Docs, Word or PDF files you already use.
- A busy workspace (500 to 1,000 documents a month): PDFOutput's 1,000-document plan costs $59 per month or $590 per year. It gives you room to grow without a plan change, and annual plans count documents per year, so a busy month can borrow from a quiet one.
- A high-volume operation (1,000 to 2,000 documents a month): PDF Maker Enterprise costs $89 per month or $70 on annual billing, with a cap of 2,000. PDFOutput's $59 plan already covers 1,000 documents a month.
- More than 2,000 documents a month: PDFOutput's unlimited plan costs $199 per month or $1,990 per year, with no cap and no negotiation. PDF Maker asks you to request a custom offer.
- Strengths: Notion-native design, flexible template choices (Google Docs, Word, PDF, Notion pages), PDF, Word, Google Docs and PPTX outputs, scheduled and status-based triggers, multiple databases through relations and rollups, e-signatures, an unlimited-document plan and no middleware required.
- Limitations: it is built for Notion, so it makes the most sense when Notion is already your source of truth.
- Strengths: many data sources, conditions and loops, API and webhooks, email and Drive follow-up actions, compliance statements, a low entry price and a free plan.
- Limitations: monthly document caps, and the API, SLA, HIPAA BAA and priority support depend on the plan or cost extra.
- Run your business in Notion and want documents generated directly from your databases
- Want to start from Google Docs, Word, PDF or Notion page templates
- Need Word, Google Docs or PPTX output as well as PDF
- Need e-signatures on the documents you generate
- Generate a high volume and want an unlimited plan
- Prefer scheduled or status-triggered generation without extra automation tools
- Keep data in Airtable, Google Sheets, Google Forms, monday.com or a CRM, alone or alongside Notion
- Need an API, webhooks, email delivery or Drive actions after each document
- Work with health or other regulated data and want published HIPAA and GDPR statements
- Generate a low to mid volume and want the lowest entry price

What is PDFOutput?
PDFOutput generates documents from your Notion database. You can start generation with a button in Notion, or automatically when a record's status changes. Each PDF is saved right back to the same database, and you can optionally save a copy to Google Drive as well.
Here is how it works:
Templates can be Google Docs, Word files, existing PDF files or Notion pages. Beyond PDFs, PDFOutput can produce Word files, Google Docs and PPTX files from the same record.
Typical uses include invoices, quotes, contracts, certificates, inspection reports, attendance sheets, delivery notes and client updates.
Key features of PDFOutput
What is PDF Maker?
PDF Maker is a no-code tool, built by Closer Innovation Labs Corporation, that creates PDFs from the data you already keep in other apps.
You pick a data source, set up a template, define the trigger that starts generation, and then PDFs are produced and saved to the destination you chose. Every run appears in a run history, so you can see what was generated.
It is aimed at businesses that want to automate quotes, invoices, proposals, offers, contracts and reports without writing code. Its templating engine supports text placeholders written in curly brackets, dynamic images, dynamic tables (including tables with images), line items, loops and conditions.
It also supports dates and currencies for most regions, bulk PDF generation and team collaboration, so several people can work on the same templates and workflows.
How setup works
PDFOutput
For line items, link the main record to a second database through a relation and bring the values across with a rollup.
PDF Maker
For Notion, you connect once from the Settings page using Notion's official OAuth flow, and you choose which pages or databases PDF Maker may read. You can revoke access at any time from Notion's Connections settings.
Data sources and integrations
This is the clearest difference between the two.
If your data is in Notion and stays there, a Notion-first tool costs you nothing but in return provides flexibility such as PDFOutput.
If part of your data lives lives elsewhere, PDF Maker covers more ground and becomes a generalist tool for use .
Templates and design
Both tools let you start from documents your team already has and owns.
Document features
For line-item documents such as invoices and supplier orders, both handle the job.
PDFOutput can also show items that includes images, which helps for product catalogues and quotes.
Invoices and other business documents
Both tools can generate invoices or any form of documents (including line items).
In PDFOutput you design the invoice or any document in Google Docs, Word or an existing PDF, so the layout, branding and wording matches your business exactly.
You can keep different versions, such as a proforma invoice, a credit note or a client-specific layout, and generate them in batches or automatically when a record's status changes.
The same pattern covers contracts, certificates, reports, delivery notes and attendance sheets, so one workflow can serve finance, HR, operations and sales.
PDF Maker covers the same document types, with the added option of conditions and loops inside the template and follow-up actions such as sending the document by email.
Automation and triggers
In short, PDFOutput's status-based and scheduled triggers fit Notion workflows closely, while PDF Maker offers more follow-up actions such as email and webhooks.

Pricing
The prices below were checked in October 2026. For the latest plans, see PDFOutput's pricing page and PDF Maker's pricing page.
1. PDFOutput
Every PDFOutput plan can be tried free for up to 10 documents. Paid plans are monthly or annual subscriptions, and the annual plans count documents per year, so busy months can borrow from quieter ones.
| Documents | Monthly price | Annual price | Annual saving |
|---|---|---|---|
| 200 per month | $29 per month | $290 per year (2,400 documents per year) | $58 |
| 1,000 per month | $59 per month | $590 per year (12,000 documents per year) | $118 |
| Unlimited | $199 per month | $1,990 per year | $398 |
2. PDF Maker
| Plan | Monthly price | Annual price | PDFs per month | Users | Templates |
|---|---|---|---|---|---|
| Free | $0 | $0 | 20 PDFs in total | 1 | 3 |
| Essential | $19 | $15 per month ($180 per year) | 200 | 5 | 10 |
| Growth | $34 | $27 per month ($324 per year) | 500 | 20 | 50 |
| Enterprise | $89 | $70 per month ($840 per year) | 2,000 | Unlimited | Unlimited |
Paid plans include bulk generation, team collaboration, run history, Zapier and Make. Webhooks, email sending and Google Drive actions are listed among the automations after generation.
A fair usage policy applies, and you can request a custom offer above 2,000 documents a month. An SLA costs $49 per month extra, a HIPAA BAA $49 per month extra, and 24/7 priority support $49 per month extra.
Non-profits and educational institutions can ask for a discount on annual plans. PDF Maker's marketing copy mentions unlimited PDFs on paid plans, while its pricing table lists monthly limits per plan, so plan your volume around the numbers in the table.
What does it really cost? Think in terms of your Notion workflow
The cheapest plan on paper is not always the cheapest tool for your team. PDF Maker is built to connect to many data sources, and its plans reflect that.
PDFOutput is built for one thing, generating documents from Notion, so its pricing is based on how many documents you create and nothing else.
Look at what is included, not just the price. E-signatures on generated PDFs are part of PDFOutput. On PDF Maker, an SLA, a HIPAA BAA and 24/7 priority support each cost $49 per month extra. PDFOutput also needs no Zapier or Make setup, so for a Notion team there are fewer tools to connect and fewer things that can break.
The bottom line: if your documents come from Notion, PDFOutput gives you a tool designed for exactly that, with pricing that stays predictable as you scale. If your data lives across several apps, PDF Maker's broader reach may be worth its extra complexity.
Support and learning resources
PDF Maker provides email and chat support on all paid plans, video-call support on Growth and Enterprise, a help center with guides, a public roadmap for feature requests and free demo bookings.
PDFOutput offers direct live chat support from founder for any issue raised by users.
We publish tutorials and demos on this blog, a features page and free Notion templates that you can duplicate and adapt.

Final verdict
Both tools turn structured data into professional documents and save hours of manual work, so neither is a wrong choice.
PDF Maker is the better fit when you need breadth: many data sources, an API, follow-up automations, compliance statements and a low entry price.
PDFOutput is the better fit when you need depth in Notion: Notion databases as the single source, flexible templates, multiple output formats, e-signatures, multiple databases in one document and triggers built around record status and schedules.
A practical way to decide is to run the same test in both.
Take one invoice, one certificate and one report, generate them from a handful of records, and compare setup time, layout quality and cost.
Choose the tool that handles your real documents with the least effort. If your documents start in Notion, see how PDFOutput maps your Notion fields to templates and try it on one template with a small set of records.
