PDFOutput vs. Formstack Documents: Which Document Automation Tool Fits Your Notion Workflow?
2026-10-25 · @Sanat Biswal
PDFOutput and Formstack Documents both turn structured data into finished documents, but they are built for very different teams: PDFOutput is a Notion specialist you can start using for the price of a small subscription, while Formstack Documents is an enterprise suite product that sits inside a larger Formstack package.
If you are tired of copying data into invoices, contracts and quotes by hand, either tool can generate the document for you. The real question is where your data lives and how much you want to pay and set up to get it out. We built PDFOutput for teams that run on Notion, so everything from field mapping to triggers to file storage is designed around Notion databases. Formstack Documents, formerly WebMerge, merges data from forms, CRMs and databases into Word, PowerPoint, PDF and CSV templates.
For teams whose documents start in Notion, PDFOutput is the better choice, and this guide shows why: it connects directly to Notion databases, accepts Google Docs, Word, PDF and Notion pages as templates, runs several templates from one automation, triggers from a button, a schedule or a status change, and costs a fraction of what a Formstack Suite plan does.
This guide compares the two on data sources, templates, document features, automation, e-signatures, security, support and pricing, using each product's public pages as of October 2026.
Quick verdict
- Choose PDFOutput if Notion is your system of record and you want documents generated straight from Notion databases, with templates in Google Docs, Word, PDF or Notion pages, outputs in PDF, Word, Google Docs and PPTX, button, schedule and status-change triggers, e-signatures, and plans from $29 per month up to an unlimited-document plan at $199.
- Choose Formstack Documents if you already run on Formstack Forms or Salesforce, need Excel templates, data routing rules or enterprise options such as SSO and a HIPAA add-on, and are comfortable buying a Suite plan that starts at $250 per month.
- Both generate documents from templates and include e-signatures. PDFOutput is the focused, affordable choice for Notion teams. Formstack Documents is one part of a larger, more expensive suite.
- You design a template.
- You add placeholders in double curly brackets, such as \{\{Client_Name\}\} or \{\{Invoice_Amount\}\}.
- You connect a Notion database, and PDFOutput replaces each placeholder with the matching property value.
- Multiple databases: relations and rollups let one document use values from several databases, for example invoice details from an Invoice database and client details from a Client database.
- Line items: an invoice can be linked to a database of items, and those items appear as line items in the generated document, including item images.
- Multiple templates: attach several templates to the same automation, such as different invoice layouts for different clients.
- Batch generation and merging: generate one file for every row in a database, or merge several PDFs into one pack.
- E-signatures: generated PDFs can be sent for e-signature.
- Images: Notion image properties can be inserted into templates with adjustable size.
- No middleware: you do not need Zapier or Make, because the Notion connection and the template are all you configure.
- Set up your Notion database with a property for each value that changes, such as Client_Name or Due_Date.
- Build a template in Word, Google Docs, an existing PDF or a Notion page and add placeholders. Each placeholder matches a Notion property name exactly, so \{\{Client_Name\}\} matches the property Client_Name.
- Connect the template in PDFOutput, choose the Notion database and match the fields.
- Choose an output file name from a database property, then generate a preview document.
- Once the preview looks right, set up the automation and generate documents inside your database with a button, a schedule or a status change.
- Build or upload a template in Formstack's builder, or as a fillable PDF, Word, PowerPoint or Excel file, and add merge fields.
- Set up the Field Map, which preprocesses data before each merge, and any modifiers, rules or data routes.
- Choose delivery destinations such as email, Google Drive, Dropbox or SFTP, and optionally add Formstack Sign for signatures.
- Connect a data source. For Salesforce that means installing a package and mapping objects. For Notion it means building a scenario in an automation platform such as Make or Zapier.
- Trigger the merge from your source, then test and re-test, since Documents does not keep merged files for you.
- PDFOutput works with Notion databases. Field mapping, file storage and triggers are all designed around how Notion databases behave, and relations and rollups let you combine several databases into one document. There is no automation platform in between.
- Formstack Documents merges data from forms, CRMs and databases and lists 300+ integrations, including Salesforce, HubSpot and SharePoint. Its strongest integration is Salesforce, with a dedicated package. For Notion, the connection runs through an automation platform: Make offers Notion triggers such as watching data source items, and Formstack Documents actions such as merging a document or pushing data into a data route. Zapier connections need a separate Zapier subscription.
- PDFOutput accepts Google Docs, Word files, existing PDFs and Notion pages as templates, which gives Notion users the widest choice of starting points. Fixed text stays in the template and changing values stay in Notion, so staff can edit a record without touching the design. We also publish free ready-made Notion templates for common documents such as orders, quotations, business proposals and fee agreements.
- Formstack Documents uses its own template builder or uploaded fillable PDF, Word, PowerPoint and Excel files, with merge fields marking the dynamic parts. Formstack's own descriptions do not list Google Docs templates, so a team that writes its documents in Google Docs has to rebuild or export them first.
- PDFOutput maps placeholders to Notion properties, inserts Notion images with adjustable size, and shows items with images inside line-item tables, which helps for product catalogues and quotes. It produces PDF, Word, Google Docs and PPTX output from one record, merges PDFs into packs, brings in data from several databases through relations and rollups, and lets you name each file from any property.
- Formstack Documents offers merge fields, repeating rows and looping for line items, modifiers and rules for conditional logic, a Field Map that preprocesses data, and data routing that picks a template based on the data, for example state-specific contract language. It produces PDF, Word and PowerPoint output and can combine several documents into one file.
- PDFOutput can generate on demand with a button, run on a schedule for recurring documents, or fire in real time when a Notion record reaches a chosen status. It supports batches, merged PDFs and automatic Google Drive storage, and writes the finished file back into the Notion database. You configure the trigger inside PDFOutput, with no Zapier or Make in between.
- Formstack Documents merges are started from the source system: a button, Flow or Apex in Salesforce, a Formstack form submission, an API call, a webhook, or a scenario in Make or Zapier. For Notion, that means a Make scenario that watches Notion and then calls a Formstack merge. Delivery goes to email, Google Drive, Dropbox, SFTP and other native integrations, or onward through Zapier and webhooks. When signing is involved, Formstack recommends a setting that delays other deliveries until the signed copy is ready.
- PDFOutput supports e-signatures on the PDFs it generates, inside the same Notion workflow. A contract can go from a Notion record to a generated PDF to a signature request without another tool to connect, and the signed file stays with the record it came from.
- Formstack Documents sends documents for signature through Formstack Sign, which is included in the Suite plan with unlimited e-signatures. Signers receive documents by email or SMS, with signing order, reminders and an audit trail. Sign is a separate Formstack product that you set up as an optional delivery step, and Formstack advises delaying other deliveries so only the signed copy is stored.
- Formstack Documents has a Documents API for starting merges from your own application, and webhooks for custom deliveries such as writing to a database. Formstack's pricing page lists API access among the Enterprise plan's features.
- PDFOutput is built for no-code teams working in Notion. If your main requirement is programmatic generation from your own code through a public API, Formstack Documents is built for that today.
- Just getting started: PDFOutput lets you generate up to 10 documents free, enough to run a real invoice, contract and certificate end to end in your own Notion workspace. Formstack offers a 14-day trial, and moving beyond it means committing to Suite pricing.
- About 200 documents a month: PDFOutput costs $29 per month, or $290 per year. Formstack's Suite costs $299 per month, or $3,000 per year on annual billing. That is $270 more per month, or $2,710 more per year.
- About 250 documents a month: this is the most a Suite plan includes. PDFOutput's 1,000-document plan covers it for $59 per month or $590 per year, so Formstack costs $240 more per month, or $2,410 more per year. Per document, Suite works out to about $1.00 on annual billing and about $1.20 on monthly billing. PDFOutput's 1,000-document plan works out to $0.06 or less.
- About 1,000 documents a month: PDFOutput's 1,000-document plan is $59 per month or $590 per year. Formstack's Suite caps at 250 deliveries, so this volume means paying for extra merges at an unlisted price, or an Enterprise quote.
- More than 1,000 documents a month: PDFOutput's unlimited plan is $199 per month or $1,990 per year, with no cap and no negotiation. That is still $100 per month, or $1,010 per year, less than Suite, which includes only 250 deliveries.
- Formstack provides a help center, an AI assistant and live agents on weekdays during US Eastern business hours, per public comparisons of its support. A dedicated customer success manager is limited to the Enterprise plan.
- PDFOutput offers direct live chat support from the founder for any issue users raise. We also publish tutorials and demos on this blog, a features page and free Notion templates that you can duplicate and adapt.
- Strengths: Notion-native design, flexible template choices (Google Docs, Word, PDF, Notion pages), PDF, Word, Google Docs and PPTX outputs, button, scheduled and status-based triggers, several templates on one automation, multiple databases through relations and rollups, e-signatures, finished files saved back to Notion, plans from $29 per month, an unlimited-document plan, no middleware required, and live chat with the founder.
- Limitations: it is built for Notion, so it makes the most sense when Notion is already your source of truth. In the features compared here, it does not list a public API, conditional logic, Excel templates or enterprise options such as SSO.
- Strengths: a long list of integrations, a dedicated Salesforce package, Excel and PowerPoint templates, conditional logic, a Field Map, data routing, a Documents API, Formstack Sign for e-signatures, and enterprise options such as a HIPAA add-on and SSO.
- Limitations: no standalone plan, a Suite price of $250 to $299 per month, a cap of 250 document deliveries and 3 builder users on Suite, no listed Google Docs templates, no native Notion connection, a Make or Zapier layer for Notion workflows, and no storage of merged output.
- It connects to Notion directly. Field mapping, triggers, file storage and write-back are designed around Notion databases. With Formstack Documents, Notion is reached through an automation platform such as Make or Zapier, and Zapier needs its own subscription.
- It costs a fraction of the price. PDFOutput starts at $29 per month and its unlimited plan is $199 per month. Formstack's Suite starts at $250 per month on annual billing, or $299 monthly, and includes only 250 document deliveries.
- You pay for documents, not a suite. Formstack bundles Forms, Documents and Sign, with 3 builder users on Suite. PDFOutput charges by document volume only, so you never pay for products you do not use.
- Your Google Docs and Notion pages can be the template. PDFOutput accepts Google Docs, Word, PDF and Notion pages. Formstack's published template options are its own builder, fillable PDF, Word, PowerPoint and Excel, with no Google Docs listed.
- Triggers live inside the tool. A button in Notion, a schedule or a status change starts generation, configured in PDFOutput itself. Formstack merges are started from the source system, an API call, a webhook or an automation scenario you build and maintain.
- Finished files are saved to your Notion record. PDFOutput writes each document back into the database it came from. Formstack Documents does not store merged output, so files must be delivered elsewhere or regenerated.
- More output formats from one record. PDFOutput produces PDF, Word, Google Docs and PPTX. Formstack lists PDF, Word and PowerPoint.
- True unlimited volume at a fixed price. PDFOutput's unlimited plan removes the monthly count for $199. Formstack's route beyond 250 deliveries runs through add-ons with unlisted prices or an Enterprise quote.
- A direct line to the founder. Live chat support from the person who built the product, for any issue you raise.

What is PDFOutput?
PDFOutput generates documents from your Notion database. You start generation with a button in Notion, on a schedule, or automatically when a record's status changes. Each finished file is saved back to the same database, and you can optionally keep a copy in Google Drive.
Here is how it works:
Templates can be Google Docs, Word files, existing PDF files or Notion pages. Beyond PDFs, PDFOutput can produce Word files, Google Docs and PPTX files from the same record. Typical uses include invoices, quotes, contracts, certificates, inspection reports, attendance sheets, delivery notes and client updates.
Key features of PDFOutput
What is Formstack Documents?
Formstack Documents, formerly known as WebMerge, is a document generation product from Formstack. It merges data from forms, CRMs and databases into templates and delivers the finished documents to email, cloud storage and other connected systems. Per Formstack's pricing page, it is sold as part of the Suite plan, bundled with Formstack Forms and Formstack Sign, rather than as a standalone plan.
Templates can be built in Formstack's own builder or uploaded as fillable PDF, Word, PowerPoint or Excel files, with merge fields marking where data goes. Its Field Map preprocesses data before each merge, modifiers and rules handle conditional logic, looping builds tables from repeating records, and data routing chooses which template to use based on the data. A separate Documents for Salesforce package adds native Salesforce setup, with merges triggered from a button, a Flow or Apex.
Formstack says it offers 300+ integrations, including Salesforce, HubSpot and SharePoint. Notion is not among the connections it describes as native. In practice, a Notion workflow means building a scenario in an automation platform such as Make, which has Notion triggers and Formstack Documents actions for merging a document or pushing data into a data route.
The trade-off is scope and cost. Formstack Documents is designed for organizations that run on forms, Salesforce and a wider suite of tools, so a team that only needs documents from Notion pays for much more than it uses.
How setup works
PDFOutput
For line items, link the main record to a second database through a relation and bring the values across with a rollup.
Formstack Documents
Formstack's product guide describes a longer path:
Both tools can be configured without code. The difference is how much stands between your data and the first finished document. PDFOutput needs a Notion database, a template and a trigger. Formstack Documents adds a Field Map, delivery routing and, for Notion, a separate automation layer.
Data sources and integrations
This is the clearest difference between the two.
If your data lives in Notion, PDFOutput connects to it directly and does nothing else, which is exactly what you want. With Formstack Documents you pay for broad connectivity you will not use, and you maintain an extra automation scenario to reach the one source you do use. If your data lives mainly in Salesforce or Formstack Forms, Formstack Documents is built for that world.
Templates and design
Both tools let you start from documents your team already has, so nobody has to learn a new design editor.
The practical differences are Google Docs and Notion pages. If your team drafts quotes, proposals or agreements in Google Docs or as Notion pages, PDFOutput uses them directly as templates. Formstack Documents lists Excel and PowerPoint templates that PDFOutput does not, which matters mostly for spreadsheet-driven or slide-based output.
Document features
For everyday business documents the two tools overlap. Both handle line items, images, several templates, combined output and e-signatures.
Invoices and other business documents
In PDFOutput you design the invoice or any other document in Google Docs, Word, an existing PDF or a Notion page, so layout, branding and wording match your business exactly. You can keep several versions on one automation, such as a proforma invoice, a credit note or a client-specific layout, and generate them in batches or automatically when a record's status changes. The same pattern covers contracts, certificates, reports, delivery notes and attendance sheets, and the finished file lands back on the Notion record it came from.
Formstack Documents covers the same document types and adds more advanced merge logic for documents that change shape. It does not keep merged files itself, so every finished document has to be delivered somewhere, or regenerated if it is lost.
Automation and triggers
How a document gets triggered decides how many moving parts sit between your data and the finished file.
In short, PDFOutput's button, schedule and status-change triggers fit Notion workflows directly and need no extra tooling. Formstack Documents is powerful inside the Formstack and Salesforce ecosystem, but a Notion team has to build and maintain the glue itself.
E-signatures, compliance and security
Both tools can send generated documents for e-signature, so neither forces you into a separate signing product.
On security, Formstack lists a HIPAA compliance add-on as a paid extra on Forms and Suite, and SSO, advanced security, custom SLAs and a dedicated customer success manager on Enterprise. Those options matter for large regulated organizations. For most Notion teams, the deciding factor is how little friction there is between a record and a signed document. PDFOutput keeps generation, signing and storage in one Notion-centred workflow, with no automation layer to set up first.
API and developer options
For most Notion teams, who are not writing code to generate invoices, the missing API is a small cost, and it is a cost they avoid paying for: reaching Formstack's API-level options means moving up toward an Enterprise conversation.
Pricing
The prices below were checked in October 2026. For the latest plans, see PDFOutput's pricing page and Formstack's pricing page.
1. PDFOutput
Every PDFOutput plan can be tried free for up to 10 documents. Paid plans are monthly or annual subscriptions, and annual plans count documents per year, so a busy month can borrow from a quieter one.
| Documents | Monthly price | Annual price | Annual saving |
|---|---|---|---|
| 200 per month | $29 per month | $290 per year (2,400 documents per year) | $58 |
| 1,000 per month | $59 per month | $590 per year (12,000 documents per year) | $118 |
| Unlimited | $199 per month | $1,990 per year | $398 |
2. Formstack Documents
Formstack does not list a standalone Documents plan. Document generation comes with the Suite plan, which bundles Forms, Documents and Sign.
| Plan | Monthly price | Annual price | What is included |
|---|---|---|---|
| Forms | $99 per month | $83 per month billed yearly | Forms only, no Documents and no e-signatures |
| Suite | $299 per month | $250 per month ($3,000 per year) | 250 document deliveries per month, 3 builder users, 100 forms, 10 GB storage, unlimited e-signatures |
| Enterprise | Custom | Custom | Unlimited users, high-volume generation, SSO, custom SLAs, API access, dedicated customer success manager |
What does it really cost? Think in terms of your volume
The gap between the two is large at every volume a typical Notion team reaches.
Look at what is included, not just the price. A Suite plan includes Formstack Forms with 100 forms and Formstack Sign, so it is good value if you need all three products. If you need document generation from Notion, you pay for a form builder you do not use, three builder seats and a delivery cap. PDFOutput's plans differ by document volume only, so e-signatures, merging and multiple templates are never held back for a higher tier, and there is no Make or Zapier subscription to add on top.
The bottom line: if your documents come from Notion, PDFOutput gives you a tool designed for exactly that, at a small fraction of the price of Formstack's suite, and its unlimited plan costs less than Suite does for 250 deliveries.

Choose Formstack Documents if you:
PDFOutput for documents that come from Notion, and Formstack for Salesforce or form-driven documents.
Final verdict
Both tools turn structured data into professional documents, both handle line items, and both include e-signatures, so either can get the job done.
Formstack Documents is the better fit for large organizations that run on Salesforce or Formstack Forms and want a full suite with enterprise security options, at a price to match.
PDFOutput is the better fit for teams whose documents start in Notion, and for those teams it is the clear choice. It connects directly to Notion databases with no automation layer, accepts Google Docs, Word, PDF and Notion pages as templates, runs several templates from one automation, and produces PDF, Word, Google Docs and PPTX from the same record. It triggers from a button, a schedule or a status change, saves each finished file back to the Notion record, and includes e-signatures. And it does all of that from $29 per month, with an unlimited plan at $199 per month that still costs less than Formstack's Suite plan, which includes only 250 document deliveries.
A practical way to decide is to run the same test in both. Take one invoice, one certificate and one report, generate them from a handful of Notion records, and compare setup time, layout quality and cost. Choose the tool that handles your real documents with the least effort.
